A Simpler Way to Plan CACFP Daycare Menus

A repeatable weekly method for planning meals, checking components, shopping, and keeping records together.

Plan from a rotation, not a blank page

Choose two to four reliable breakfasts, lunches, and snacks for each season. Rotate the main item, fruit or vegetable, grain, and milk while keeping preparation realistic for your schedule. A reusable base reduces decision fatigue and makes shopping more predictable.

Before serving, verify the required meal pattern, age group, serving size, creditable foods, and any sponsor-specific procedures. Infant meal patterns and substitutions require special attention.

Use one weekly record flow

Plan the menu, mark foods you already have, build the shopping list, then leave space beside each meal for substitutions. Record changes when they happen rather than trying to remember at the end of the week.

Keep enrollment, attendance, meal counts, menus, receipts, and required supporting records in the system your sponsor or state agency expects. A pretty menu is helpful for families, but it does not replace program records.

  • Menu and age group
  • Required components
  • Planned serving
  • Actual substitution
  • Meal count and attendance
  • Receipt or supporting record

Make variety manageable

Vary color, texture, temperature, and preparation without introducing several unfamiliar foods at once. Pair a less familiar item with a familiar one and offer repeated, pressure-free exposure. Simple menus can still be varied and appealing.

Post a family-friendly menu where adults can see it, and keep the detailed compliance record in your working binder or approved digital system. Review the rotation when prices, seasons, enrollment, allergies, or guidance change.

What to do next

A practical starting plan

  1. Confirm current meal-pattern rules
  2. Choose a two-week starter rotation
  3. Build one component-check column
  4. Record substitutions immediately
  5. Review costs and waste monthly

Common questions

Helpful answers before you go

Does a menu template make a meal CACFP compliant?

No. The foods, components, quantities, child age, records, and current program rules determine compliance. A template only helps organize the work.

Can I repeat meals?

Programs can use rotations, but follow current sponsor and program guidance. Variety can come from rotating sides, preparation, and seasonal foods.

Where do I confirm creditable foods?

Use current USDA, state-agency, and sponsor guidance rather than relying on a printable or marketplace listing.
